Pathways Plus Ltd (“Pathways Plus”) Booking Terms & Conditions

Bookings

Pathways Plus offers an online booking service, once the booking form has been completed and submitted, payment in full received and the booking validated by Pathways Plus you will be sent confirmation of your booking via the email address you have provided. Bookings are subject to our website terms and conditions which are hereby incorporated.

Receiving email acknowledgement of payment is confirmation of your request to book a child on a Pathways Plus activity.

For safety reasons we can only guarantee a place on ANY camp or course to those booking in advance. Those that arrive on the day will not be guaranteed a place on the activity.

Before booking please ensure your child is able to attend the activity and meets the conditions for such event as listed on our website.

Cancellations and Refunds

All bookings are subject to the right to cancel by telephone (01992 350110) or in writing (by fax or e-mail to us) up to 24 hours before the start of the camp or course booked pursuant to the Consumer Protection (Distance Selling) Regulations 2000.

Any bookings cancelled up to 24 hours before the start of the camp or course will be entitled to a full refund or credit for the value of the cancelled booking to use against future bookings.

Outside of this 24 hour period any cancelled bookings confirmed by us will be entitled to a credit for the value of the cancelled booking to use against future bookings.

If you want to change any booking please notify Pathways Plus as soon as possible giving full reasons why.  Pathways Plus will at its discretion try and accommodate any request to change a date, venue or participant please note any change may be subject to an administrative fee.

Programme Changes

In the event that Pathways Plus has to cancel an event for any reason, an alternative event will be offered if this is unsuitable for any reason a full refund will be issued to the person who booked, no written request is required.

In the event of inclement weather, all Pathways Plus events have suitable indoor areas to change, meet and eat lunch, and suitable indoor activities will be organised to replace the outdoor activities at the discretion of Pathways Plus staff.


Payment

Pathways Plus accepts credit/debit cards online and by way of telephone bookings as methods of payment no fees are added for credit/debit card payment, the price displayed on the website is inclusive of any fees Pathways Plus is charged. 'We do not store credit card details nor do we share customer details with any 3rd parties'

Transaction security

All transaction information passed between merchant sites and Sage Pay’s systems is encrypted using 128-bit SSL certificates. No cardholder information is ever passed unencrypted and any messages sent to your servers from Sage Pay are signed using MD5 hashing to prevent tampering. You can be completely assured that nothing you pass to Sage Pay’s servers can be examined, used or modified by any third parties attempting to gain access to sensitive information.

Encryption and Data Storage

Once on our systems, all sensitive data is secured using the same internationally recognised 256-bit encryption standards used by, among others, the US Government. The encryption keys are held on state-of-the-art, tamper proof systems in the same family as those used to secure VeriSign's Global Root certificate, making them all but impossible to extract. The data we hold is extremely secure and we are regularly audited by the banks and banking authorities to ensure it remains so.

System security

Sage Pay’s systems are scanned quarterly by Trustwave which are an independent Qualified Security Assessor (QSA) and an Approved Scanning Vendor (ASV) for the payment card brands.

Sage pay is also audited annually under the Payment Card Industry Data Security Standards (PCI DSS) and is a fully approved Level 1 payment services provider, which is the highest level of compliance. We are also active members of the PCI Security Standards Council (SSC) that defines card industry global regulation.

Links to banks

Sage Pay has multiple private links into the banking network that are completely separate from the Internet and which do not cross any publicly accessible networks. Any cardholder information sent to the banks and any authorisation message coming back is secure and cannot be tampered with.

Internal security

Sage Pay is controlled by Iris Scanners, which are the latest and most precise biometric security devices available for identification. As used by; chemical plants, airports, police stations, prisons and other facilities where security is paramount. No one can enter or leave the building without a valid security pass.

Staff validation

All employees at Sage Pay are Criminal Records Bureau (CRB) checked prior to employment and no unauthorized individual has access to or is able to decrypt transaction information or cardholder data. Our systems only allow access to our most senior staff and only in extenuating circumstances (such as investigations of Card Fraud by the Police). All transaction information and customer card information is secure even from our own employees.

Disaster recovery

Sage Pay operates on twin data centres to ensure optimal system security and up-time and has a full disaster recovery and business continuation policy.


Personal Property

Pathways Plus cannot be held responsible for any loss or damage to any personal belongings whilst attending a Pathways Plus event.  Please ensure that no valuables are taken to the venue by your children.

Health & Safety

A full risk assessment will be carried out before any activity takes place at a new venue. Pathways Plus coaches a hold a current emergency aid certificate issued by an appropriate body.

It is the parent/guardian’s responsibility to ensure appropriate clothing is worn and/or available for their child for the activity provided and weather conditions.

Medical information

Any medical conditions that any participant may have must be fully disclosed (1) at the time of booking in writing to Pathways Plus at registration and (2) to the head coach on the camp or course at the venue.

Child Protection

All Pathways Plus staff hold current child protection and CRB certification. In the event that a child makes a disclosure or a member of staff believes that the child is suffering from abuse we will act in accordance with our child protection policy, a copy is available on request.

Film/Photography

Pathways Plus may from time to time take photographs/film of Pathways Plus camps and clubs, the use of this data is solely for the purpose of promoting and publicising Pathways Plus events through Pathways Plus literature, website, press and TV.

Parents/guardians that do not wish for their child to be photographed/filmed must make Pathways Plus aware of this at the time of booking or in writing before the activity starts (where possible Pathways Plus will inform parents/guardians at the start of a camp or course).

Pathways Plus will hold all personal data in accordance with its Privacy Policy

Liability

Pathways Plus. has Public Liability insurance with cover provided by Hiscox Underwriting Limited on behalf of Hiscox Insurance Company Limited
Other than in relation to death, personal injury, or property damage, where Pathways Plus or its staff is proven to be negligent, Pathways Plus liability to you is limited to the booking fee paid by you.

Complaints

In the unlikely event that you or your child are dissatisfied with the service we provide then please in the first instance raise it with the activities head coach at the event. He/she will deal will the problem in accordance with our policies and procedures. If the problem is not resolved to your satisfaction then please write to our customer services team info@pathways-plus.com within 14 days of child’s attendance on the camp or course.

We take your views and complaints very seriously and will endeavour to resolve your complaint as quickly as possible.
